Why Choose R Nite Star for Your Graduation Celebration?
A graduation party needs room for people to gather, a practical way to handle speeches and entertainment, and a plan for relatives coming from out of town. We bring event space and hotel accommodations together at 1175 N Watson Rd, Arlington, TX 76011, in Arlington’s Entertainment District on the SH 360 frontage, between Dallas and Fort Worth.
Our event center includes a stage with stage lighting, a dance floor with lights, a complete audio/video system, an overhead projector and widescreen, VIP seating sections, two bars, and a backstage dressing room. Tables and chairs are provided, and layouts are flexible. Your package determines the services included in your event, so we recommend discussing your program before selecting a package.
For a high school graduation, that program might center on family photographs, a graduate tribute, a meal, and dancing. For a college graduation, you might want a gathering that brings relatives, classmates, and friends together around a shared celebration. The room should support those activities without making guests repeatedly move their belongings or struggle to follow announcements.
Hotel rooms on the same property can also simplify planning for relatives who want to stay where the celebration takes place. Group room blocks are possible on request; inquire about availability and arrangements before promising rooms to guests.
When comparing our event venue in Arlington with other options, begin with the combination your party actually needs: guest capacity, seating, presentation equipment, entertainment space, included services, and overnight accommodations. A venue decision becomes easier when you compare the complete plan rather than the room alone.
Build a Guest Count That Matches the Party You Want
Start with a named invitation list, not a general estimate of how many people might come. Separate the graduate’s household and close relatives, extended family, school friends, family friends, and other invited guests. Mark which invitations include additional household members so your count reflects people rather than invitations.
Keep invited, expected, and confirmed attendance separate. A large invitation list does not automatically require the largest layout, but an optimistic attendance guess can leave you without enough seats. Ask guests to RSVP with the names of everyone attending, including children.
For a shared graduation party, combine the graduates’ lists and remove duplicate guests before estimating attendance. Shared relatives and friends should appear only once in the working total. Decide who will maintain the master list so different versions do not lead to conflicting numbers.
Our event center hosts up to 350 guests, but the right arrangement depends on what happens inside the room. A seated meal, stage presentations, a dance floor, and display tables all create different space needs.
Use these attendance ranges to frame the discussion:
- 50 guests: Ask how the layout can create a connected gathering with an appropriate amount of seating and activity space.
- 100 guests: Compare the service packages carefully. Our Full Service with Catering package currently requires a minimum of 100 guests.
- Up to 350 guests: Discuss the complete floor plan early, including seating, entertainment, food service, and movement through the room.
The catering threshold matters when attendance is uncertain. If you invite 100 people, you do not yet have 100 confirmed guests. Discuss how the minimum applies before building your plan around catered service.
Ask event sales about the final attendance deadline and how the catering minimum applies to your booking. These determine when your guest count must become a firm commitment.
Compare the Four Packages Before Building Your Budget
We quote each graduation event by date, guest count, and package. We do not publish event prices. The useful comparison is therefore the scope of service: what we provide, what you still need to arrange, and how much coordination your household wants to handle.
Our event packages range from venue access with core furnishings to full service with catering.
| Package | Listed inclusions | Planning fit | What to clarify |
|---|---|---|---|
| Venue Only | Approximately 4–6-hour event window, open bar, tables and chairs | Hosts who want to coordinate the remaining celebration details | The exact access window, permitted arrangements, and bar service terms |
| Venue + Audio/Video | Approximately 4–7 hours, power sound system, overhead projector and widescreen, stage lights, dance floor lights | A party built around presentations, music, and dancing | Equipment operation, media preparation, and the services included in the quote |
| Venue + AV, Decoration & DJ | Decoration services, sound system and DJ, table and chair arrangement, cleaning | Hosts who want coordinated help with appearance, entertainment, arrangement, and cleanup | Decoration scope, DJ arrangements, and event timing |
| Full Service with Catering | Full venue service, setup time, catering service; currently requires a minimum of 100 guests | Hosts seeking a broader service package with catering | Catering details, setup access, and the complete service scope |
Do not assume a feature listed under one package automatically carries into another. Ask for the inclusions in your specific quote. Likewise, distinguish the equipment available in the event center from the equipment and services included in your selected package.
For another explanation of the service differences, review how the four packages compare.
Build your working budget around categories: venue and package, food arrangements, entertainment, decorations, overnight rooms, and any additional services you request. Mark each category as included, separately quoted, or still undecided. This helps prevent paying for overlapping arrangements or overlooking work that someone must handle.
The strongest budget levers are usually your date, attendance, package scope, and program complexity. Ask event sales how changing those choices affects your quote. Compare the resulting service commitments alongside the total.
Ask event sales about deposit, payment schedule, taxes, additional charges, cancellation terms, and rescheduling terms. These are needed to evaluate the full financial commitment.
Plan the Layout Around Dining, Speeches, and Dancing
A workable graduation layout starts with the guest experience. Think through arrival, finding a seat, greeting the graduate, watching presentations, eating if planned, and joining the celebration. Then arrange the furniture and activities around that sequence.
For a seated gathering, prioritize clear views of the stage and widescreen from the tables. For a party centered on music and dancing, discuss how seating can support guests who want conversation while preserving the dance floor. If the program combines both, ask how the arrangement can accommodate the full evening without a major furniture change.
Our banquet hall offers flexible layouts with tables and chairs provided. Bring a list of every activity that needs a physical place: a welcome display, graduate photographs, gifts, food service, speeches, and entertainment. Each item should appear in the layout discussion before you approve an arrangement.
The stage can give a graduate tribute or family welcome a clear focal point. The projector and widescreen can support a photo presentation when included in your event arrangements. VIP seating sections are another feature to discuss when planning where the graduate and family will sit.
For high school parties, consider how adults, classmates, and younger relatives will use the room at the same time. For college parties, think about guests arriving from different households and whether your program gives them a natural way to meet.
Do not treat the maximum guest capacity as a finished floor plan. Your final arrangement must account for the activities and services you select.
Ask event sales about the approved layout for your attendance and program, accessible routes and seating arrangements, and any restrictions affecting displays. These details determine whether the room works for every guest.
Before finalizing decorations, identify where they belong on that plan. This keeps decorative choices connected to the actual room arrangement and reduces last-minute decisions.
Work Backward From the Celebration Date
Build the schedule backward from the party’s finish, using the event window in your quote. Venue Only lists approximately 4–6 hours, while Venue + Audio/Video lists approximately 4–7 hours. Confirm the timing for your chosen package rather than assuming every package follows the same window.
At the end of the event: Identify when music, food service, and guest activities must conclude. Assign someone to collect gifts, photographs, personal decorations, and the graduate’s belongings. Confirm how cleaning responsibilities differ under your selected package.
Before the final celebration period: Place any speeches or graduate tribute while guests are gathered and ready to listen. Keep the program focused on the graduate. A clear sequence is easier to follow than repeated interruptions throughout the party.
Before the main program: Allow guests to arrive, find their seats, and greet family. Decide who will welcome them and who can answer questions while the graduate is occupied with photographs or conversation.
Before doors open: Complete the agreed setup and check the presentation, music, and room arrangement. Full Service with Catering lists setup time; clarify access for any package before scheduling decorators or other providers.
Before sending invitations: Confirm the booking details, party time, location, and RSVP process. If the party follows a ceremony, use the actual ceremony information supplied by the school or university. Do not build the invitation around an assumed ceremony finish.
Before booking: Compare your preferred date with a workable alternative, estimate attendance, choose the services you want quoted, and discuss overnight room needs.
Before the final attendance deadline: Follow up with guests who have not responded. Update the seating plan and communicate changes through the designated event contact.
Ask event sales about setup access, event start and finish, breakdown access, and any additional. Time arrangements—these define the usable schedule.
Keep the working schedule in one document. Include each activity, its responsible person, and any dependency, such as a presentation needing to be tested before guests enter. Share the final version with the people handling the event.
Make Practical Decisions About Food, Music, Decorations, and the Bar
Choose food arrangements alongside the package, because service affects timing, layout, and the work your family must handle. Our Full Service with Catering package currently requires a minimum of 100 guests. For a smaller party, discuss the available arrangements directly with event sales.
Ask event sales about food options for events below 100 guests, outside. Food rules, catering selections, dietary accommodations, and food-service timing—these determine the appropriate package and guest communication.
For music, decide whether you want a DJ-led celebration or another arrangement permitted under your booking. Our Venue + AV, Decoration & DJ package includes a sound system and DJ. Prepare the atmosphere you want, the graduate’s preferences, and any songs or announcements that matter to the program.
A photo presentation needs preparation beyond selecting favorite pictures. Put the images in their intended order, check names and captions, and identify who will deliver and operate the presentation.
Ask event sales about accepted media formats, file delivery, equipment operation, and sound. Check access—these help ensure your presentation works as intended.
For decorations, begin with the areas guests will actually see: the arrival point, graduate display, tables, and stage backdrop if planned. Ask what the decoration service includes before buying items separately.
Ask event sales about decoration scope, permitted attachment methods, installation and removal responsibilities, and restrictions on decorative materials. These affect purchasing and setup.
Open bar is available, and the event center has two bars. R Lounge Bar is our hotel’s own bar on site. Keep the event’s bar arrangements clear in your quote, particularly for a high school celebration or any gathering with minors.
Ask event sales about event bar inclusions, beverage selections, service arrangements, age. Verification procedures, and policies for events with minors—these are necessary to plan the gathering appropriately.
When these decisions start to affect each other, contact Rina at 972-352-0888. We can discuss your graduation party’s date, guest count, and package needs before you commit to separate arrangements.
Coordinate Hotel Rooms and Arrival Information for Visiting Family
Keeping hotel rooms on the same property as the event space gives out-of-town family an accommodation option to consider alongside the invitation. Group room blocks are possible on request. Ask about availability before describing a block as arranged.
Our guide to hotel rooms and event space for groups can help you organize the accommodation discussion. Begin with households, arrival dates, departure dates, and preferred sleeping arrangements. Keep overnight attendance separate from the party RSVP count.
We offer eight room types: Standard King, Standard Two Queen Beds, Deluxe King, Deluxe Two Queen Beds, Premium King, Premium Two Queen Beds, Studio Mini Kitchen King, and Studio Mini Kitchen 2 Queen. Two-queen rooms sleep up to 4. Studio rooms have a kitchenette with a sink, two-burner cooktop, microwave, and full-height refrigerator.
Our fully renovated, non-smoking hotel provides free Wi-Fi, free parking, and free breakfast: continental on weekdays and hot breakfast on weekends. Other amenities include a seasonal outdoor pool, guest laundry, and an ATM. Rooms have mini-fridges and coffee makers.
Guests can book rooms directly online or call the hotel front desk at 817-652-3100. Direct booking can bring special discounts and 10–15% off multi-night stays. Confirm the applicable offer and terms when booking; some reservations may be non-refundable.
For college graduation guests, our published distance to UTA is 5.1 miles. DFW International Airport is roughly a 15–20-minute drive, and Dallas Love Field is roughly 30 minutes away, depending on traffic. We operate no shuttle or pickup service; guests must arrange their own travel.
Reception operates Sunday–Thursday from 6:30 AM–2:00 AM and Friday–Saturday from 6:30 AM–3:00 AM. After-hours check-in instructions are sent by email and text.
Ask event sales about room. Block availability, reservation deadlines, rates, and block terms—these must be settled before guests receive booking instructions.
Compare Venues Using the Same Graduation Party Plan
A useful venue comparison gives every property the same brief. State your graduation celebration date, expected attendance, desired event window, meal plans, entertainment needs, and overnight accommodation requirements. Otherwise, quotes can describe different events and appear more comparable than they are.
Ask each venue to explain its usable layout for your program. Confirm furnishings, presentation equipment, setup arrangements, decorating responsibilities, food-service options, and cleanup. Record the answers beside the quote so you can see which tasks remain with your family.
Our guide on how to choose an event venue in Arlington provides another starting point for that evaluation. For this decision, focus on what will make the graduation party manageable: the room arrangement, the work included, and the responsibilities you accept.
Before selecting a venue, identify who will make decisions during the party. The graduate should be able to celebrate, and the host should know whom to contact when a timing or setup question arises.
When you contact us, send a concise event brief:
- Your preferred date and any alternative.
- Expected attendance and whether the count is preliminary.
- Whether you are celebrating a high school or college graduation.
- Your preferred package and planned activities.
- Whether visiting relatives need hotel rooms or a group room block.
Ask event sales about the booking requirements and designated event. Day contact—these establish how the reservation becomes confirmed and how final arrangements are coordinated.
