Why Put Your Company Event and Hotel Stay on the Same Property?
A meeting venue and a hotel solve different problems. Your venue needs to support presentations, discussions and a workable agenda. Your accommodations need to give traveling employees a place to stay before and after the program. Bringing those functions onto the same property makes the overall plan easier to coordinate.
At our event venue in Arlington, the event center and hotel rooms are on the same property. Staff staying with us can attend the company program without arranging a separate journey from another hotel. That is especially useful when your agenda includes an opening session, a full training day or a corporate gathering after the formal presentations.
We provide free parking, which belongs in the comparison when local employees will drive to the event. Our location between Dallas and Fort Worth also gives hosts a concrete Arlington address to share with attendees across the area.
The venue includes a stage with stage lighting, a complete audio/video system, an overhead projector and widescreen, VIP seating sections, a dance floor with lights, two bars and a backstage dressing room. Tables and chairs are provided, with flexible layouts.
Those features give you options, but your package and setup should follow the work you need to accomplish. A presentation-led conference may center on the stage and screen. A training day may require table space for materials and exercises. An employee recognition event may use a different arrangement altogether.
The useful comparison is how well the property supports the complete event: the meeting, the arrival plan, the overnight stay and the transition between them.
Turn Your Agenda into a Head Count and Layout Plan
Before requesting a quote, write down the outcome you want. “Company meeting” could mean leadership announcements, employee training, an internal conference or an evening recognition program. Each calls for a different relationship between the audience, the presenter and the room.
For a presentation-heavy agenda, ask about seating oriented toward the stage and widescreen. For training, ask about tables arranged to support writing, materials and discussion. For a working conference, consider whether attendees will stay in the same seats throughout the program or whether the layout needs to change.
Our event center hosts up to 350 guests. That is the overall capacity fact to start with; it does not establish the capacity of every possible meeting arrangement.
Ask event sales about seated capacity for your requested layout, including tables, presentation areas and any other event stations. These affect how many people the arrangement can accommodate.
Build your head count from the people who will actually occupy the space. Include employees, speakers, facilitators, company hosts and any additional invited attendees. If different groups attend different portions of the program, distinguish the total invitation list from the largest group expected in the room at the same time.
Use a simple reconciliation:
Expected attendance = confirmed attendees + pending attendees you still intend to accommodate.
Keep room demand separate. An employee attending the conference does not automatically need a hotel room, and a hotel guest may be sharing with another attendee. Maintain an attendance list and a lodging list, then compare them before submitting final requirements.
Also mark any agenda item that depends on a separate space, so the training plan never rests on a room nobody has confirmed.
Ask event sales about availability of separate rooms or spaces for simultaneous sessions. Your agenda may depend on groups meeting independently.
Once you know the audience, layout and presentation needs, the package discussion becomes much more specific.
Compare Packages by the Work Your Event Requires
We offer four event packages. We do not publish prices; each event is quoted by date, guest count and package. Use the comparison below to identify the appropriate starting point, then have event sales clarify the scope for your company’s program.
| Package | Published inclusions | Planning use | Clarification to request |
|---|---|---|---|
| Venue Only | Approximate 4–6 hour event window, open bar, tables and chairs | A gathering where the venue and seating are the primary requirements | Confirm the event window and how the listed open bar applies to your company event |
| Venue + Audio/Video | Approximate 4–7 hours, power sound system, overhead projector and widescreen, stage lights and dance floor lights | A presentation-led meeting, training day or conference | Confirm presentation connections, sound requirements and equipment support |
| Venue + AV, Decoration & DJ | Decoration services, sound system and DJ, table and chair arrangement, cleaning | A company event combining formal content with a social or recognition component | Confirm the scope of decoration, arrangement, cleaning and the event window |
| Full Service with Catering | Full venue service, setup time and catering service; catering currently requires at least 100 guests | A corporate event that meets the catering minimum and needs coordinated venue service | Confirm catering details, service scope, timing and attendance requirements |
For many presentation-led programs, Venue + Audio/Video is the package to discuss first. It expressly includes the sound system, overhead projector and widescreen. Still, the presence of equipment does not answer every technical question.
Ask event sales about microphone options, laptop connections, audio playback, presenter controls and technical assistance. These determine how your presentations will run.
Treat the quote as the place to resolve scope. The approximate event windows are planning information, so confirm when your team can enter, when attendees can arrive and when the event must finish.
For a corporate dinner, our banquet hall for corporate dinners may also be relevant to your inquiry. Explain whether dinner is the main event or part of a broader meeting agenda.
Open bar is available, and the Venue Only package lists it among its inclusions. Explain your company’s beverage requirements when requesting availability so the proposed arrangement matches your event.
Ask event sales about beverage service scope and any requested alcohol. Free arrangement—company policies may affect the service you need.
Build the Budget Around Scope, Attendance and Time
A useful venue comparison starts with matching requirements. Quotes can look different because they cover different work, access periods or equipment. Give each venue the same brief before deciding which proposal fits your company.
At R Nite Star, your quote depends on the date, guest count and package. Send those details together with the agenda, layout request, lodging needs and catering requirements. A quote based only on “a conference” leaves too many decisions unresolved.
Keep event costs and lodging costs visible as separate parts of your internal budget. Include the venue package, any confirmed additional services, guest rooms and employee travel arrangements. Free parking and guest breakfast are relevant inclusions, but they do not replace a complete review of the proposal.
The main budget levers are practical:
- Date: Share any flexibility so event sales can assess availability for the dates you could use.
- Attendance: Distinguish your expected count from your maximum planning count.
- Package: Select services that support the agenda.
- Time: Include preparation, presentations, transitions and departure in the timing discussion.
- Food: Full Service with Catering currently requires a minimum of 100 guests.
- Lodging: Base room demand on actual overnight stays and approved sharing arrangements.
If your event falls below the catering minimum, keep the food plan unresolved until it has been discussed.
Ask event sales about food arrangements permitted for an event below the catering minimum. Catering for fewer than 100 guests is not established by our published package information.
Before approving a proposal, request the complete financial terms.
Ask event sales about deposit, payment schedule, taxes, service charges, cancellation terms, overtime charges and change deadlines. These affect your total commitment.
Ready to compare a specific date and package? Request event availability or call Rina at 972-352-0888. Include your expected attendance, meeting format and room needs. Submitting the inquiry form does not confirm a booking; event sales confirms availability.
Match Hotel Rooms to Your Traveling Staff
Group room blocks are possible on request. Ask about them while discussing the event, particularly if staff will arrive before the program or stay afterward. Event availability and the requested room arrangements both need attention before you issue a complete travel brief.
We offer eight room types: Standard King, Standard Two Queen Beds, Deluxe King, Deluxe Two Queen Beds, Premium King, Premium Two Queen Beds, Studio Mini Kitchen King and Studio Mini Kitchen 2 Queen.
Two-queen rooms sleep up to 4. Use that as an occupancy limit, then apply your company’s room-sharing policy. Maximum occupancy alone does not determine the right arrangement for coworkers.
For planning purposes, calculate:
Requested rooms = individual rooms + approved shared rooms.
Then check each room against arrival date, departure date and assigned occupants. Keep unresolved travel plans marked as pending so a tentative attendee list does not become an inaccurate lodging request.
Our studio rooms have a kitchenette with a sink, two-burner cooktop, microwave and full-height refrigerator. They may be worth discussing when employees need extended stays, subject to room availability. All rooms have mini-fridges and coffee makers.
The hotel is fully renovated and non-smoking. Guests receive free Wi-Fi, free parking and free breakfast, with continental breakfast on weekdays and hot breakfast on weekends. We also have guest laundry, an ATM and a seasonal outdoor pool. Review what is included in your stay when preparing employee travel information.
Guest breakfast is a hotel amenity for overnight guests, not a meeting service.
Ask event sales about any meeting refreshments, coffee service or event breakfast arrangements. These are separate requirements that need an explicit answer.
Book rooms through our direct booking site or contact the hotel front desk at 817-652-3100. Booking direct can bring special discounts and 10–15% off multi-night stays; offers may be non-refundable, so confirm the applicable terms when booking.

Work Backward from the Event Date
Build your timeline backward from the program’s start. The purpose is to identify decisions that depend on earlier answers, rather than collecting tasks in an arbitrary order.
At the event date, your operating plan should be settled. Your company host should have the agenda, attendance list, room layout, presenter materials and venue contact information. Assign responsibility for welcoming attendees and resolving company-side questions so speakers can concentrate on the program.
Before issuing final attendee instructions, settle the arrival details. Confirm the event entrance, access arrangements and any instructions attendees need to locate the meeting.
Ask event sales about event entrance, accessibility arrangements and attendee wayfinding. These details belong in the final invitation.
Before finalizing presentation materials, resolve the technical requirements. Ask which file formats and connections your presenters should prepare. Identify whether presentations include video, live demonstrations, remote participants or other elements beyond slides.
Ask event sales about event hall Wi. Fi, internet capacity and support for remote participation—free hotel Wi-Fi for guests does not establish event hall connectivity.
Before confirming the layout, walk through the agenda. Consider where speakers will stand, where attendees will write, how people will reach their seats and whether any transition requires furniture to move. Ask how a proposed change fits within the event window.
Before sending travel instructions, review arrival timing. Reception operates Sunday through Thursday from 6:30 AM to 2:00 AM and Friday through Saturday from 6:30 AM to 3:00 AM. After-hours check-in instructions are provided by email and text. Employees arriving outside reception hours should have the instructions they need before traveling.
Before committing to the date, reconcile the quote and lodging request. Check the package, guest count, access period, catering requirement and room arrangements against the same version of your plan.
Ask event sales about event and room. Block deadlines, modification terms and final-count requirements—these determine when internal decisions must be complete.
Give Attendees a Clear Arlington Arrival Plan
Our address is 1175 N Watson Rd, Arlington, TX 76011. Put the complete address in invitations and travel instructions. We are in Arlington’s Entertainment District on the SH 360 frontage, between Dallas and Fort Worth.
DFW International Airport is roughly a 15–20 minute drive, and Dallas Love Field is roughly 30 minutes away, depending on traffic. Those estimates are useful starting points for travel planning, but attendees should account for traffic when arranging their arrival.
We run no shuttle and no pickup service of any kind. Traveling employees must arrange their own ground transportation. Make that explicit in the travel brief so no one arrives expecting a hotel pickup. Our guide to DFW Airport to Arlington can support your arrival planning.
For local staff driving to the event, note that parking is free. Include the confirmed event arrival instructions alongside the address rather than assuming every attendee is also checking into the hotel.
If employees ask about the surrounding area, our hotel-published distances include restaurants from 0.4 miles, Globe Life Field at 1.7 miles, Texas Live! at 2.1 miles and AT&T Stadium at 2.5 miles. Any optional outing needs its own timing and transportation arrangements.
R Lounge Bar is our hotel’s own bar on site. If an informal gathering there is part of your proposed program, raise it during planning.
Ask event sales about R Lounge Bar availability and arrangements for your proposed gathering. An on-site bar does not establish a reserved company event.
Keep the final attendee message focused: where to go, when to arrive, what to bring, how lodging works and whom to contact. A concise travel brief prevents venue questions from interrupting the meeting itself.
